Why bookkeeping for startups isn't as simple as it looks

1 July 2026

Bookkeeping for a startup looks simpler than it is. Many founders start with a tool like Moneybird or e-Boekhouden, or even a well-structured Excel file. At first glance there’s nothing wrong with that: it’s cheap, easy to use and you can get going straight away. But that do-it-yourself approach has its limits. As you grow, risks arise that these systems don’t cover.

The promise of doing it yourself

Online bookkeeping tools promise simplicity and direct control. In the beginning that’s appealing. You have a view of your own numbers, you save the cost of an adviser, and everything is within reach.

But that simplicity is relative. Many entrepreneurs think bookkeeping is mainly about recording transactions. In reality your administration is the foundation under your business. It determines whether you can adjust in time, whether you’re financeable, whether you’re operating well for tax, and whether you can scale up later without starting over.

Where it goes wrong

Entry-level tools focus on standard processes: sending invoices, booking receipts, filing VAT returns. They get stuck as soon as things get more complex:

  • Strategic insight. You don’t get a reliable picture of your cash flow, margins or other steering information. Usable dashboards are missing.
  • Complexity in growth. Multiple income streams, projects, cost centres or investors take a lot of manual work or simply don’t work.
  • Tax structure. Optimisations like investment deductions or loss offsetting take more knowledge and precision than a tool like this supports.
  • External review. As soon as you talk to a bank or investor, a basic administration doesn’t cut it. Then you need substantiation, history and structure.

What starts as an advantage becomes a brake in a later phase.

Why it often gets put off anyway

Many entrepreneurs want to keep building for a while before they professionalise their administration. Understandable, but risky. What starts as a manageable process slowly grows into a collection of loose ends: forgotten receipts, an unclear current account, a loss you can’t explain.

The risk is that you only discover at an important moment, like a funding round or a sale process, that your administration hasn’t kept up with your growth. The cost of fixing it is then often higher than the investment in a good structure from the start.

What to do instead

The alternative isn’t more administration, but better administration. Smart and scalable bookkeeping takes more than software:

  • Automate efficiently: with Exact Online, linked to your bank and to AI scanning solutions like Autoboeker, which we’re a partner of.
  • Create insight: with reports that suit your type of business.
  • Document processes: who does what, when and how, so that nothing slips through.
  • Choose the right support: not a bookkeeper who processes after the fact, but an adviser who looks ahead.
